Privacy Policy

1. Who We Are
PoolStamp (“PoolStamp”, “we”, “us”, or “our”) is operated by Enterprises Auric LC, LLC, a Florida limited liability company.

PoolStamp provides a mobile and web application that helps independent pool-service technicians and pool-service companies (“Operators”) log service visits, capture proof-of-service photos, record chemical readings, generate invoices, and send visit summaries to their customers (“End Customers”).
2. Who Uses PoolStamp
Operators are the technicians and companies who create accounts and use the app to run their business. End Customers are the property owners whose pools the Operator services. End Customers do not create PoolStamp accounts — their information is uploaded by the Operator, who is the controller of that information; PoolStamp acts as a processor on the Operator’s behalf.
If you are an End Customer and want a copy of your information or want it deleted, contact your Operator first. We will assist Operators in fulfilling those requests as required by law.
3. Information We Collect
3.1 Information you give us directly
- Account info: name, email address, password (hashed), business name, phone number.
- Customer records you upload: End Customer name, service address, phone, email, pool details, service schedule, and notes.
- Messaging consent records (if texting is enabled): the mobile number confirmed by the recipient, consent or confirmation timestamps, opt-out status, the disclosure shown at sign-up, and related audit details needed to honor STOP/HELP requests and prove consent.
- Visit data: date/time, chemical readings, equipment readings, repair items, technician notes, completion status.
- Photos: images captured during a visit as proof-of-service.
- Invoices: amounts, line items, paid/unpaid status. PoolStamp does not store payment card information.
3.2 Information collected automatically
- Device and log data: device type, OS version, app version, IP address, crash reports, and basic usage analytics.
- Identifiers: internal user account ID and app installation identifier. On Android devices we may collect the Android Advertising ID if permitted by device settings; on iOS we use only an internal installation identifier (no IDFA).
- Product activity: signups, logins, imports, route creation, visit starts and completions, receipt sends, invoice actions, feature usage, trial milestones, plan-selection events, and similar activity used to operate PoolStamp, improve the product, and determine eligibility for trial extensions or other account offers.
- Location data (optional): if you grant location permission, GPS coordinates are captured at the moment of a visit to attach as proof-of-presence. We do not track location in the background.
- Photo EXIF data: photos may include timestamp and GPS coordinates in EXIF metadata.
3.3 Information from third parties
- Email delivery: we use Postmark to send visit summary emails, portal magic-link emails, and account emails. Postmark receives recipient email addresses and message content.
- Image storage: we use Cloudflare R2 to store photos.
- Route planning: we use Mapbox for route optimization. Addresses are transmitted to Mapbox to compute routes.
- Billing: we use Stripe to process subscription payments. Stripe receives payment card data directly; PoolStamp does not store card numbers.
- SMS delivery and compliance: if texting is enabled, we use Twilio to send service notifications and process reply keywords such as STOP, START, YES, NO, and HELP. Twilio receives recipient phone numbers, message content, delivery metadata, and opt-out/help replies.
- Hosting: our servers run on Render with a managed Postgres database.
- Website analytics: poolstamp.com uses Google Analytics 4 to measure page performance and visitor counts. Google Analytics sets cookies and collects browsing data subject to Google’s Privacy Policy. We may also use Plausible Analytics, a cookie-free tool that does not collect personally identifiable information.
4. How We Use Information
We use personal information to: create and maintain Operator accounts; provide core PoolStamp features; send transactional emails and optional service text messages; maintain messaging consent, confirmation, and opt-out records; support trials and account recovery; measure activation, retention, reliability, and feature usage; improve PoolStamp; prevent abuse; comply with legal obligations; and enforce our Terms of Service.
We may use End Customer Data and product activity to generate aggregated or de-identified operational insights, such as import quality, route-volume patterns, feature adoption, churn risk, or broad service-market trends. We do not sell personal information, share personal information for cross-context behavioral advertising, or use identifiable End Customer Data to train third-party AI models.
5. Sharing Information
We share personal information only with:
- Service providers (subprocessors): Render, Cloudflare R2, Postmark, ActiveCampaign, Mapbox, Stripe, Twilio, Apple Push Notification service, Firebase Cloud Messaging, Sentry, and analytics providers we may add. Each is bound by a data-processing agreement.
- Legal and safety: when required by law, valid legal process, or to protect rights, safety, or property.
- Business transfers: if PoolStamp is acquired or merged, information may transfer to the successor, subject to this Privacy Policy.
We do not share personal information with advertisers or data brokers. If PoolStamp later creates a data-cooperative, benchmarking, or market-insight product, it will be built around aggregation, de-identification, access controls, and deletion processes, and we will update this Privacy Policy before using identifiable personal information for any materially new purpose.
6. Data Retention
- Operator account data: retained while your account is active and for up to 90 days after deletion, then permanently removed.
- Trial account data: retained during the trial and, if the trial expires or is abandoned, for a limited period to support account recovery, billing questions, abuse prevention, product analytics, and conversion measurement.
- End Customer records and visit history: retained for as long as the Operator maintains an active account, until the Operator deletes the record, or while we have a legitimate operational, legal, security, backup, audit, or product-improvement need to retain a limited dormant copy.
- Dormant data store: if an Operator cancels, churns, or stops using PoolStamp, we may move customer records, visit history, import records, and product activity into a separate internal data store with restricted access. We use that store for account restoration, legal/audit needs, security investigations, product analytics, and aggregated or de-identified insights. We honor applicable deletion requests and remove or de-identify records when retention is no longer justified.
- Logs and analytics: retained for up to 24 months.
- Backups: rolling encrypted backups kept up to 30 days.
7. Your Rights
You have control over your information. Depending on where you live, you can ask us to give you a copy of what we hold, fix something that’s wrong, delete your account and associated records, limit how we process your data, or pull back any consent you previously gave. Email info@poolstamp.com and we’ll handle it within the timeframe applicable law requires — usually 30 days.
In-app account deletion: Operators can delete their account directly within the PoolStamp app: go to Settings → Account → Delete Account. This removes your profile and End Customer records from active production systems within 30 days, subject to the retention windows in Section 6. You can also request deletion by emailing info@poolstamp.com.
California (CCPA/CPRA): If you’re a California resident, you can ask us what information we hold about you, request that we correct or delete it, and direct us not to sell or share your personal information for cross-context behavioral advertising. We don’t do either of those things — but the right is yours to exercise if you want.
8. Security
Every connection between your device and PoolStamp is encrypted in transit. Passwords are stored as one-way hashes and are never recoverable in plain text. Session tokens expire quickly and rotate automatically. Staff access to customer data follows a need-to-know model. No software is completely immune to failure — if we ever discover an incident that puts your information at risk, we will notify you as required by law.
9. Children
PoolStamp is designed for adult pool service professionals. We do not knowingly collect personal information from children under 13 (as defined by the U.S. Children’s Online Privacy Protection Act) or under 16 (as defined by GDPR for users in the EEA/UK). If you believe a child has provided us information, email info@poolstamp.com and we will delete it.
10. International Transfers
PoolStamp’s infrastructure runs on U.S.-based servers. If you use PoolStamp from another country, the information you provide — including account details and customer records — will be stored and processed in the United States under U.S. law.
11. Changes to This Policy
We will post the updated policy at poolstamp.com/privacy and update the “Last Updated” date. If we make a material change, we will give Operators reasonable advance notice by email or in-app message.
12. SMS / Text Messaging
PoolStamp SMS/text notifications are optional and are not required as a condition of any purchase or service. When an End Customer opts in, we use the mobile phone number and related consent, confirmation, and opt-out records solely to send pool-service notifications, verify consent, honor STOP/HELP/START requests, and comply with carrier and legal requirements. We do not sell, rent, or share your mobile opt-in information, consent records, or phone number with third parties or affiliates for their own marketing or promotional purposes. Message frequency varies; message and data rates may apply. You can opt out at any time by replying STOP, or reply HELP for assistance. Carrier is not liable for delayed or undelivered messages.
